JOB DESCRIPTIONS FOR MOUNTAIN TRAILS

WALK TO EMMAUS BOARD MEMBERS

 

COMMUNITY LAY DIRECTOR

1.      Presides over the meetings of the Board of Directors

2.      With the help and support of the Community Spiritual Director, oversees and orchestrates the activities of the Mountain Trails Emmaus community

3.      Plans the agenda for the board meetings

4.      Makes sure board members follow through with their assignments

5.      Has an understanding of the Walk to Emmaus movement, the Emmaus weekend and team formation

6.      Participates in the closing of the Emmaus weekends as indicated in the closing agenda;

a.      Welcomes new pilgrims

b.      Announces upcoming events

c.      Presents the Lay Director for the next set of walks

7.      Represents the Mountain Trails community to the broader community

8.      Is familiar with the by-laws and board actions of the MTWE and the Upper Room Handbook of  the Walk to Emmaus

9.      Carries out responsibilities in the spirit of teamwork with other board members

10.  Makes sure the National Emmaus Agreement is signed by the members of the

board and other staff as necessary and returned to the National Headquarters in a timely manner

 

ASSISTANT COMMUNITY LAY DIRECTOR

 

1.      Assist the CLD in the performance of duties

2.      Preside during the meeting of the Board of Directors in the absence of the CLD

3.      Is familiar with the by-laws and board actions of the MTWE and the Upper Room Handbook of  the Walk to Emmaus

4.      Carries out responsibilities in the spirit of teamwork with other board members

5.      Has an understanding of the Walk to Emmaus movement, the Emmaus weekend and team formation

 

COMMUNITY SPIRITUAL DIRECTOR

 

            1. Acts as Spiritual Director of the MTWE community

            2. Helps the Board remain centered on Jesus the Christ

                     a. Focused on the purpose of the Emmaus movement

                     b. Aware of God’s presence in the decision making process

            3. Pays attention to the spiritual atmosphere and health of the MTWE community

4. Meet with every clergyperson who goes through the walk and discuss

                      a. Clergyperson’s perspectives of the walk

                      b. Interest in the walk

                       c. How he/she might serve the MTWE community

5. Selects the clergy who will serve as Walk Spiritual Directors and email the                                                                                

                   Names for board approval

6.      Maintains a list of all qualified clergy within the MTWE community

7.      Is responsible for orienting and preparing the upcoming Spiritual Directors and will present;

a.       An overview of the MTWE weekend

b.      The standards by which the walk is conducted

c.       The spirit of the team’s participation during the first team meeting

8.      Leads Holy Communion

9.      Represents and interprets the Walk to Emmaus to clergy colleagues and church leaders and encourages their participation pm walks, teams and as leaders of the MTWE community

10.  Share with colleagues the walk experience and the value of the Emmaus Community

11.  Offer to sponsor his/her colleagues

12.  Carries out responsibilities in the spirit of teamwork with the Board of Directors

13.  Approves all clergy talks for the walk

 

TREASURER

1.      Receives all monies for MTWE

2.      Pays out all monies upon presentation of receipt/bill as directed by the Board of Directors

3.      Keeps and accurate record of all receipts and disbursements

4.      Pays pilgrims fees for each walk

5.      Pays the annual CCL license fee

6.      Prepare a bi-monthly report

7.      Present the books for audit at the end of the year

 

SECRETARY

1.      Record all minutes of the meetings of the Board of Directors and make public upon request

2.      Give or mail a copy of the minutes to the CLD within seven (7) days following a meeting

3.      After CLD approves minutes, send copies to all Board members, Treasurer and the Newsletter editor/with updated calendar of scheduled meeting and events. Also file a copy in the Secretary’s record of minutes

4.      Write newsletter articles in conjunction with the CLD

5.      Keep track of the eight (8) copies of the Policy Book (Board Actions) and keep them current

6.      Update, compile and send to Librarian those items passed by the Board of Directors effecting the Walks to be added to the current job descriptions and script

7.      Do things requested by the CLD

8.      Keep track of all correspondence

9.      Send notice of the next board meeting a minimum of two (2) weeks prior to the meeting

10.  Maintain a mailing list of all members. Make sure the addresses and phone numbers of the Board are current and correct

11.  About mid-year include names, addresses and phone numbers of the Board in the Newsletter

LIBRARIAN/HISTORIAN

1.      To collect and maintain the documents of importance from each of the Men’s and Women’s Walk to Emmaus

a.       Copy of the roster of the workers in the Inn and background

b.      Copy of the Pilgrim’s list

c.       Group picture and the picture key

2.      To maintain master copies

a.      Job descriptions

b.      Talk outlines

c.      Any other document the Board of Directors dictates

3.      Maintain Library with resource book for the MTWE community

4.      Collect all talk outlines and job descriptions from the LD/ALD after each walk. The LD boxes then can be checked and readied for the next set of walks and given to the next LD’s

5.      Keep a file of all church maps and distribute the map to the LD that is appropriate for each walk

6.      Collect binders from retiring board members and distribute to new board members

7.      Add board decisions that effect walks to the job description books and script

 

TEAM SELECTION CHAIR (chair, CLD, Past CLD, Community Spiritual Director, past and present men’s and women’s LD’s and one (1) representatives from each of the following geographical area: Yreka/Redding, Ashland/Medford and Coastal/Eastern

1.    Receive and process all applications to work the walks

2.    Provide continuity in the selection process from walk to walk (Inn and Background teams – 1/3 each – new people, 2nd or 3rd time people and veterans. At least one (1) new CHA on each walk, theological balance and mixture of men and women on both teams)

3.    Set up meetings for the selection of the Inn and Background teams for each walk

4.    Help if asked by the LD’s with the calling of prospective workers

5.    Choose BALD for the background co-coordinator, preferably from the board, to work the walk

 

SITE SELECTION

1.    Seek out new sites for Walks

a.       Numbers of sleeping rooms available (Inn and Background Teams)

b.      Room for Inn

c.       Dining area for Inn and Background

d.      Size and contents of kitchen

e.       Number of bathrooms

f.        Accessibility of background to work around Inn

2.    Recommend to the board the sites

3.    Check with the churches for available dates

4.    Secure the church for the dates set for the walks

REUNION GROUP

1.    Compile a list of all reunion groups, time and place of meeting

2.    Send that list to the Newsletter editor to be published after each set of walks

3.    Emphasize reunion groups at all gatherings and pass around interest sheet for people who are not in a current reunion group

4.    Encourage established reunion groups to guide new groups or take new pilgrims into their existing group

5.    Encourage Table leaders to follow up on pilgrims at their table

 

MUSIC

1.  Review selection of songs for MTWE

2.  Check with Treasurer about renewal of our CCL license yearly

3.  Fill out necessary paper work connected with CCL license

4.  Compile and publish a list of musicians

5.  Be willing to play for gatherings

6.  Teach new songs to the community at gatherings

 

GATHERING/PHONE TREE

1.  Call church for dates of gathering

2.  Call music people

3.  Plan and arrange a program

4.  Arrange for Communion and a Communion leader

5.  If necessary, arrange for a babysitter (funds may be available fro the Treasurer)

6.  Emcee gathering

 

TEAM LEADERSHIP TRAINING

1.  Establish an ongoing training program approved by the board

2.  Train members on the community to be on the leadership committee

3.  Set dates for training session

 

REGISTRAR

1.    Receive all applications for Pilgrims

2.    Send a copy of the registration form to the walk LD’s

3.    Prepare a list of Pilgrims for the Newsletter

4.    Destroy applications after the data has been entered and registration confirmed

5.    Hold for one (1) year all applications of those who have registered, but not yet walked

 

WEB MASTER

1.  Create and maintain a web site

2.  Keep calendar of events current

3.  Add new articles of interest as they occur

COMMUNITY QUARTERMASTER (trailer)

1.      Provide a list of items the trailer purchases for each walk (before, during and after) for each committee

2.      Form a committee to inventory and purge old items from the trailer (Agape’, Decorations, Sacristan and Kitchen) after each set of walks

3.      Give a copy of the inventory list to each of the following; Agape’, Decoration, Sacristan and Kitchen chairs at least two (2) months before the set of walks

4.      Obtain inventory list from men’s chair after the men’s walk and replenish supplies as necessary

5.      Obtain proof of insurance coverage before moving the trailer

6.      Purchase trailer supplies as needed or requested by the Board of Directors
